Summary/Objective: A travel administrator arranges, manages, and coordinates all aspects of business travel to meet the specific needs of employers, employees, and clientele within an organization. Key Accountabilities: Establishing the traveling needs of the employee and clients Followed administration, company procedures, account guidelines, and customer service standards in all areas of travel coordination Assist to set budgets, monitoring spending, and other expenses Research and books flights, ground transportation, and hotel accommodations, and provides travelers with directions and destination information Communicate travel arrangements, provide solutions to travel-related problems Coordinating employee and client schedules with business deadlines Reviewed vendor invoices and corporate card summary billing according to department procedures Creates detailed itineraries using programs such as Microsoft Word, Excel, and Outlook to meet employer-specific budgets and deadlines Research travel procedure and destination information on the Internet, create and maintain relevant files and databases, and stay in constant communication with employees, customers, and venues. Prepare the Expense reports Creating budgets and coordinating complex schedules as required Process and manage all phases of travel advances including auditing and reconciliation and payment Assist company administration submit and reconciling expenses Assist the administration manager to develop and update administrative systems to make them more efficient Assists evaluate vendors Assist administration manager to deliver necessary policies, handling daily tasks as assigned Education/ Qualifications: Associate’s or bachelor’s degree in business or a related field Work Experience: Professional experience in the travel industry needed or preferred Behavioral Competencies: Highly organized Attention to detail A team player Good interpersonal skills Be able to handle the pop-up task Be able to be on-call during off-work hours Be able to work under pressure to resolve unexpected and unanticipated requirements Be able to handle multitask at the same time Technical Skills: Control Travel budgets Schedule coordination skills Travel arrangements skills Meeting coordination skills Researching, and data and business management skills |
