OVERVIEW/BASIC FUNCTION: Responsible for the administration and maintenance of associates recruitment, associates benefits plans and associate relations functions. Provide support to the Talent & Culture Manager and Assistant Director of Talent & Culture. RESPONSIBILITIES: • Maintain complete knowledge of and comply with all departmental policies, service procedures and standards. • Ensure that standards are maintained at a superior level on a daily basis. • Provide support to Talent & Culture Manager and Assistant Director of Talent & Culture in different departmental projects. • Assist in the organization of associate’s engagement activities, department campaigns and events. Prepare flyers, posters and videos for such events. • Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended. • Anticipate associate’s needs, respond promptly and acknowledge all associates, however busy and whatever time of day. • Greet all associates arriving at office and assist with their needs. Maintain positive relations at all times. Answer telephone with positive manner. • Resolve associate complaints, ensuring associate satisfaction. • Monitor and maintain cleanliness, sanitation and organization of assigned work areas. • Maintain knowledge of all hotel services/features and hours of operation. • Access all functions of computer. Set up work station with necessary supplies and resource materials. • Complete supply requisitions and submits to Manager; stock office supplies upon receipt. • Maintain accurate files and communicate daily changes to Talent & Cultures Manager. • Type correspondence, memos and reports. Maintain filing procedures. • In the absence of the Training and T&C Administrative Assistant, prepares ID’s and nametags for new employees and replacements for current employees. • In the absence of the Training and T&C Administrative Assistant and/or when requested, prepares communication coming from the Talent & Culture such as posters for events, birthday calendar, etc. Controls the preparation of monthly associates’ birthday list and makes sure it is being distributed on time. • In the absence of the Training and T&C Administrative Assistant, prepares all necessary documents in order to proceed with all internal recognition programs (Thank You Cards, Exceptional Extraordinary Awards, Moments of Magic, etc.). Follow-up as required and when needed with all concerned (HoDs and T&C Manager). • Completes all departmental forms/reports and distributes (PAF, Change of Benefit, Clearance, Overtime, etc.) • Updates employee HRIS and files according to information listed and under the guidance of the Talent & Cultures Manager (enters data for new joiners, change of status etc.) • Provides support to the Talent & Cultures Manager in regards to administrative assistance of the Human Resources Department (associates letters, tracking reports) • Under the leadership of the Talent & Culture Manager, takes the full ownership of the entire Payroll process and sends proper emails / reminders to HoDs when needed. • Assists in processing new hires and transfers by explaining instructions on completing all appropriate forms. • Provides support to the Government Relation Officer and gets familiar with all government mandatory processes such as visa, security check, RP renewal etc. • Creates and conducts / facilitates trainings when needed. • Posts on social media such as Yammer platform, MyCommunity, LinkedIn as requested and where needed. • Routes applications to Talent & Culture Executive and assists in scheduling interview appointments when needed. • Conducts reference checks and responds to requests for reference checks on previous associates when applicable. • Prepare monthly associates birthday list and distribute. • Prepare 90-Day probationary review notifications and distribute to department managers. • Process paperwork for resignations/terminations. • Complete all departmental forms/reports and distribute: a. PAF b. Change of Benefit c. Clearance d. Overtime • Process requests for employee Associates Personal Usage Request. • Review status of incomplete work and follow up actions with Talent & Culture Manager. • All other duties as required. QUALIFICATIONS: • Experience: Minimum two year’s experience in a human resources environment. • Education: High school diploma. • General Skills: Must be able to perform job functions with attention to detail, speed and accuracy • Technical Skills: Proficiency with Microsoft Office products • Language: Required to speak, read and write English, with fluency in other languages preferred. |
