To complete assigned administrative tasks and support the function in meeting on time, quality and cost standards relating to the mobilisation and on boarding of new hires including travel arrangement, visa processing and coordination of orientation.
Administration on-boarding of new employees accurately and appropriately in HR Zing.
Supports the Senior HR Assistant in arranging all new hire travel, airport collection and accommodation and ensuring cost, time and quality of service is optimized.
Ensures timely submission of documentation for the application of visas and provides regular updates to Government Relations team.
Retrieves the Visa documents from Government Relations and provides relevant entry / transfer documentation to new hires.
Regularly and accurately updates documentation and procedures to ensure process clarity in their area of work.
Supports initiatives that enhance the new hire employee experience.
Generates weekly and adhoc reports ensuring accuracy and timeliness for the department.
Communicates with all new hires (junior grades) as required to ensure necessary documents for entry to the UAE are arranged and available as requested.
Participates in the achievement of team objectives, seeking on-going support, direction and self-development so that results are achieved.
Knowledge, Skills & Minimum Experience:
Certificate in Human Resources or Equivalent Qualification.
Minimum 3 years of experience in a HR administrative role, preferably in a large organization.
Experience in processing on-boarding documentation and travel logistics for high volumes of new hires, is desirable.
High standards of verbal and written communication.
Good planning and organizational skills with the ability to multi-task and manage time effectively.
