Core Purpose: The main purpose of the role of School Administrator is to maintain efficient communication with parents. This role requires the incumbent to manage and develop school communication channels to ensure current school information is available to new and existing parents. The School Administrator is also responsible for managing and organising the school transport system, including liaising with parents with regards to the school transport. Main Responsibilities: Be the ‘face of Aspen’ as family liaison officer Maintain effective communications with existing parents, handling queries and being the liaison between other school personnel and departments Maintain open lines of communication to existing parents to ensure their concerns, complaints and compliments feedback are handled effectively, efficiently and in a timely manner Communicate with parents through emails, SMS, phone calls, and portal notices Organize parent/community events in order to engage parents in school activities and celebrations and support the school’s parent engagement activities Manage and continuous development of the school communication channels, such as newsletters, to ensure the school’s parent population is fully aware of the school’s activities as a key driver of customer/student retention Identify and anticipate the needs and requirements of new and existing parents Ensure that the School Principal and relevant staff are regularly informed of problems or unusual matters of significance Liaise with regional IT support to ensure the pupil database is up to date and accurate, setting up parent’s evening, ECA’s booking and teachers and pupils allocation on engage Organise transport systems in the school, liaising with families and the transport company to ensure the safety of our children, and compliance in all areas Translation of letters from English to Arabic and vice versa Ensure the school policies, procedures, and codes of conduct are followed at all times Initiate effort and energy beyond the typical workday, where the tasks require additional commitment Perform other duties as requested by direct & dotted reporting line managers / supervisors Health and Safety Emphasizes the importance of safety in all areas of the curriculum, communicating to the pupils the importance of a responsible attitude towards personal safety, the safety of others and respect for Aspen Heights British School’s property and equipment Safeguard Aspen students Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities Assist in implementing all policies and rules governing student life and conduct Ensure that, all the necessary health and safety rules and procedures are being followed Maintain an awareness of all the health and safety measures to be taken when in school Knowledge & Skills Minimum Educational Qualifications Required for the Role: Bachelors degree Minimum Years of Experience Required: 2 years school experience Language Skills: English is mandatory, Arabic is Mandatory Special Skills and Abilities Competencies: Excellent communication skills and command of the English language, in spoken and written form Telephone etiquette training (Added advantage) Customer Service Training (Added advantage) Willing attitude to be a part of the school team Strong sense of professionalism Safeguarding and welfare of children A collaborative team-player with excellent interpersonal skills Behavior management Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) Excellent organizational skills and ability to prioritize workload Excellent interpersonal and communication skills, in person, telephone and written Excellent Customer Service Skills, with the ability to use discretion, patience, tact and respect for confidentiality.
