The Mission: The Team Assistant owns, proactively drives, and further develops the execution of all administrative activities required to smoothly and efficiently run and further grow our regional office. What are my responsibilities? Team Recruiting and Onboarding · Coordinate recruiting/ interviewing process for candidates in collaboration with Siemens’ local talent acquisition, incl. interview tracker, case study repository, and evaluation consolidation. · Manage and proactively enhance onboarding process of new team members to ensure a smooth joining experience, incl. order of required HW/SW, maintaining of onboarding guide, and frequent follow-ups during initial months to gather feedback and to provide support. · Team Management · Lead visa coordination (business travel/ residency) as per Siemens corporate policies for local Advanta team, incl. maintaining internal records on granted visas and respective validity. Proactively trigger required renewals in coordination with ext. agencies, internal functions, and individual team members. · Maintain autonomously training schedule of the local team in close collaboration with Advanta People Development (located in Munich) and local Advanta leadership and ensure all team members are enrolled in required as well as additionally identified training programs. · Maintain team staffing log, incl. tool update/ management as guided by the (Associate) Partners through close collaboration with global staffing team. This includes participation in weekly staffing calls incl. necessary follow-ups. · Provide administrative team support where needed, e.g., e-form letter requests, ordering of stationery, and room bookings, project feedback management, expense review, and contribute to the local office development by supporting hands-on on daily requirements, as needed, beyond the outlined specification. · Supplier Registration · Lead the registration process of Advanta as a supplier to local clients, maintain Advanta relevant tender portal database, and frequently scan major portals to identify newly published tenders and business opportunities. · Marketing and Business Development · Identify conferences, exhibitions, other major events where Advanta team members should participate, and coordinate enrollment. Siemens Advanta, especially in the Middle East, is a relatively new, but fast-growing team. A successful integration and fun at work requires self-motivation, entrepreneurial passion, and a strong “Can-Do” attitude regarding building something new and unconventional. That sometimes also requires availability outside of standard working hours. · Willingness to navigate in ambiguity requiring to creatively think about potential approaches to solutions instead of only following existing standard processes and working tools (Siemens incorporated largely a “self-service” working culture). · Problem solver mindset / think outside the box attitude to get things done professionally and efficiently. · Availability to constantly learn and further develop content- and personality wise. · Fluent in English (writing and verbal); Arabic is strongly preferred. · Excellent MS Office knowledge, in particular Outlook, Excel, Word, and preferably PowerPoint. · Bachelor’s degree or equivalent qualification from reputable university or College. · Preferably work experience in larger Consulting firm or similar organization, e.g., Tech industry. · General knowledge about Siemens and Consulting Services Industry is highly preferred. · Flexibility in terms of working location (home office ideally Dubai) and working hours as needed.
