Role Purpose: The position is responsible for providing timely active administrative support to the SMBU Leasing (both long term and short term leasing) including monitoring of status for issued lease documents (lease agreement, amendment, termination, assignments, license, etc.) upto execution of the agreement, communication with clients/tenants related to queries on the issued document, etc., ensuring that all lease related documents complies with the agreed terms, conditions of the contract and commitment between the company and the tenant. Role Details – Key Responsibilities and Accountabilities: Verifies and updates (if need be) entries for lease deals in the Data Capture System based on the input received from Leasing in SMBU. Prepare the, agreements, amendments and needed paperwork accurately and ensure that the same is in accordance with the terms and conditions agreed at the time of closing deal and send the same to the client for review and acceptance. Review the final acceptance from the client on the lease agreement document to ensure that there is no ambiguity in the acceptance of the terms and conditions stated in the formal lease agreement and that there is complete clarity between the Company (SMBU) and the client’s commitment with regards to the agreement. Collect all pertinent and valid legal documents from the client such as trade license/ commercial registration, memorandum of association, power of attorney, passport copies of signatories, franchise agreement, etc., to ensure the legality of the client. Responsible for all correspondences between Company and tenants whether it is by email, letter and other means of communication to support the tenant to clarify any queries related to the issued lease document. Provide input (cheques, tenant fitout form (t-forms) and/or any other relevant documents as per pre-defined process) to and receive output from (legal jobs, receipts, LOD’s etc.) related departments i.e. LTR, STR and MPM Leasing, Finance, Legal and/or other stakeholders pertinent to the execution of the deal. Provide all necessary data/reports to the Company concerning Leasing deals as and when requested. Maintain accurate filing system of all deal related information and agreement (both physical and on system e.g. Yardi/CRM System and/or SharePoint etc.) so as to enable the team to refer the same with respect to rent collection/renewal/extension, lease provisions, concessions or conditions, etc., as well as to serve as a point of reference in case of any litigation. Ensure compliance with the MAFP SMBU’s Code of Conduct, Departmental policies and HC Policies and Procedures at all times. Be the advocate and ambassador of aligning and cascading the MAFP values across SMBU and ensure that it is adhered to and exhibit the same all the time.
