Job Description: |
Plan, organize, direct & manage the administrative operations providing several administrative and project coordination services. Maintaining smooth administrative internal procedures as per the company’s policy and standard. Manage, evaluate, oversee and provide guidance to direct reports to ensure their productivity and efficiency as per the company standards. Identify and suggest process for improvement in the current system. Ensure new procedures are aligned to any corporate policies for efficient execution within the department Deal with related correspondence, queries and concerns related to general support. Observe adherence to hierarchy, issuance of disciplinary actions, provide guidance and coordination for training of staff. Verify staff overtime remuneration and allowances to ensure compliance to guidelines. Handle grievances and resolve disputes for cordial operation. Prepare certification of payment and follow-up subsequent release. Process LPO’s and Receipt Vouchers via Oracle. PDM Projects Supplier Account Creation. Monitor and control of the petty cash custody. Timely submission to Accounts of petty cash monthly related reports and documentations. Perform regular follow-up and coordinates on projects’ status and timelines to ensure productivity and work progress. Disseminate BU Head’ instructions and consolidate information to process. Manage the BU Head’s schedule. Organize meetings and ensures ample time for meetings and other projects. Monitor facility management and budgets for equipment and supplies to sustain cost control objective. Organize events and business trips schedule appointment. Prepare reports, briefs and deliver presentations as delegated. Attend meetings and prepare adequate communications from minutes of meetings to any corporate communication requested by the BU Head. Manage different types of projects assigned by the BU Head and ensure deadlines are met effectively. Facilitate efficiently BU’s HR related matters (Recruitment, Payroll, Attendance, Warning Letter, Payroll Change, Visa Cancellations, Organization Structure & Staff Details, Leave Details, etc.) Requirements Bachelor’s Degree from recognized university in Business Administration, Office Management or equivalent Extensive experience in Consultancy, Engineering, Project Management background or related Minimum 3 years of senior work experience Result oriented with excellent leadership, problem solving, time management and organization skills Ability to work with minimal supervision Ability to work under pressure Excellent communication and presentation skills Excellent Microsoft Office skills (PowerPoint, Excel, etc.) Meticulous, diplomatic, pleasant personality, good interpersonal skills and cultural awareness, highly organized and assertive. |
